02 · Claims and cashflow

Three schedules. One answer you can bank on.

Your contract says one date. Your claims board says another. Your site supervisor knows the real one. The system holds all three and uses the most reliable date for each stage, from deposit to handover, so your cashflow forecast reflects what's happening on site. Supervisor dates lock on entry and every change is audited.

03 · Accounts payable

Invoices that file themselves.

Invoices arrive by email or upload. AI reads them, matches them to the job, the purchase order and the cost code, and checks the GST and for duplicates. Then they route for approval by value: the site supervisor for small amounts, the project manager for larger ones, the director above that. If a subcontractor's insurance or licence has expired, the invoice is blocked until it's fixed. Retention is tracked. Approved invoices go to Xero.

Every variation agreed, priced and signed.

Clients see their selections, questions and post-contract variations in one place, grouped the way your team prices them. Admins control what's published and when. Approved items become a signed PDF with GST-inclusive totals, evidence and a frozen record, so there's no argument at handover about what was agreed.

05 · Field and site accountability

The office sees what the site sees.

Fortnightly checks for every supervisor on every job: client update sent, photos uploaded, safety walk done. Gaps are highlighted before the client notices. Field apps are built for a phone in one hand on site, with large tap targets, and keep working when the signal drops.

AI that does work, not demos.

We put AI where it saves hours: reading invoices and documents, answering questions from your live data, searching your policies and procedures, and drafting the copy nobody has time to write. Every assistant only sees what the person asking is allowed to see, and every answer can be traced back to its source.
