How a Queensland social enterprise replaced manual handling between divisions with one enterprise platform, without replacing the systems it trusts.

The business

A Queensland social enterprise running trades divisions, labour hire and community programmes. Field staff, managers, executives and a board all need the same information, at different levels of detail, and some of it is highly sensitive.

The problem

Each division had its own way of working. Information crossed between them by hand, and the accounting and HR systems of record couldn't be replaced. The new platform had to connect everything without becoming another silo, and it had to meet a standard any auditor would accept.

What we built
  • Sign-in with Microsoft for every staff member, with two-factor for administrators
  • Access shaped by the org chart: people see their unit, approvals route to the right manager
  • Accounting and HR systems kept as the systems of record, integrated rather than duplicated
  • Rostering, WHS, jobs and people, with workflow and approval engines shared across divisions
  • A knowledge assistant that answers from the organisation's own documents and shows its sources
  • A board portal, an integrated Outlook inbox and a secure API for future integrations
  • Field pages that work on a phone at 360 pixels and keep working offline
The standard

Every table has row-level security and an audit trail. Every column is classified, and health, ID and bank data never reach exports, search or AI. Security scanning blocks any release with a high-risk finding. Encrypted backups run nightly outside the platform, with a quarterly restore test.

How we started

Not with a big-bang rollout. We began discovery with one contained division, mapped the current process, then widened out once it was proven.
